Job Description
The Executive Transportation Coordinator Senior Specialist is responsible for all aspects of coordination, scheduling, and execution of transportation services for Allstate employees visiting Integon bldg., transporting people across the international border crossing from hotel, airport or train station to office locations and vice versa, as well as within Baja California state limits
KEY RESPONSIBILITIES
· Coordinates the reservation request processes, trip schedules, and utilization vehicle assets.
· Inspect vehicle daily ensuring cleanliness, proper operating condition and in compliance with all state and local laws.
· Punctual and safety focused driving across the international border to Integon office location, transporting executives.
· Help Allstate Executives to get migration permits and visas while crossing international border.
· Shipping, receiving and local transport of materials ordered by the different departments as requested.
· Support HR, Accounting and IT to deliver and or receive official paperwork from different government departments such as Secofi, Ministry of Labor and Social Security, Customs, Migration, Social Security, Infonavit, Sar, Banks, etc.
· Managing vehicle gas cards.
· Manage and report expiration of insurance coverage, registration, etc.
· Support Facilities in administrative activities and small repairs.
· Support Facilities in lockers management.
· Support Facilities in parking space management.
EDUCATION AND EXPERIENCE
· High School diploma (Preferred)
· 2-4 years experience (Preferred)
· In lieu of the above education requirements, an equivalent combination of education and experience may be considered.
CERTIFICATIONS, LICENSES, REGISTRATIONS
· Valid driver’s license (at least type Baja California Chofer B).
· Mexican Passport and US Visa
· Sentri or Global Entry Card
FUNCTIONAL SKILLS
· Comprehensive knowledge of the field's policies, procedures, and practices
· Time management experience
· Must possess effective verbal and written communication skills – Bilingual 60%; ability to communicate orally.
· Effective organization and time management skills with the ability to work under pressure and adhere to schedules.
· Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
· High degree of initiative, mature judgment, kind and respectful person, with excellent attitude and discretion
· Must be able to work a varied schedule. Some night, weekend and on-call hours are required.
· Ability to perform work that requires frequent standing, walking, lifting to 50 pounds, grasping and repetitive motion.
· Able to work flexible hours as needed.
